Beyond Alphabets Terms and Conditions Program Agreement
Policy Updates & Modifications
By enrolling a child in any Beyond Alphabets program, including but not limited to after-school programs, homeschool enrichment, camps, tutoring, fine art and pottery classes, drop-in care, transportation services, events, workshops, and birthday parties, parents and guardians acknowledge that they have read, understood, and agreed to all policies, procedures, terms, and conditions listed below.
Homework Tutoring Program
Parents and guardians understand that all tutoring sessions reserved through Beyond Alphabets are non-refundable and non-cancelable.
Rescheduling requests may be accommodated only if:

Beyond Alphabets receives at least 48 hours’ advance notice, and
-
Tutor availability or scheduling space is available.
Beyond Alphabets does not guarantee rescheduling availability.
Students are required to bring:

School homework
-
Textbooks
-
Class assignments
-
Chromebooks or required technology
-
Any materials necessary for tutoring sessions
Parents understand that if Beyond Alphabets tutors recommend additional educational books, curriculum, practice materials, or learning resources to support academic progress, parents are responsible for purchasing those materials.
Overall, the Beyond Alphabets tutoring experience is designed to support academic growth, confidence, learning progress, and educational development for every participating student.
Beyond Alphabets tutoring services support learning and homework completion but do not guarantee specific academic outcomes, grades, or school performance.
Homeschool Enrichment Program
Beyond Alphabets offers a customized, enrichment-based curriculum designed to support each child’s individual learning needs.
Programs may include, but are not limited to:

180 Days of immersive learning in Geography, Science, Social Studies, Math, English Language Arts (ELA), and Spanish
-
Schoolhouse Discoveries themed unit study kits integrating multiple subjects
-
California-based curriculum resources from Teachers Pay Teachers
-
Online learning tools such as IXL Learning and Khan Academy
-
Educational content from National Geographic
-
Hands-on science, art, pottery, sensory activities, and enrichment projects
All curriculum and enrichment activities are aligned with state standards and educational best practices.
Beyond Alphabets reserves the right to update, modify, or refine curriculum, schedules, materials, classroom structure, and teaching methods as part of continuous program improvement.
Parent & Guardian Responsibilities
Parents and guardians agree to:

Ensure missed assignments and coursework are completed at home when students are absent

Understand that Beyond Alphabets is not responsible for making up missed instructional time
-
Support ongoing academic growth through home practice and parent involvement

Purchase and provide all required books, learning materials, curriculum, school supplies, and educational resources requested by Beyond Alphabets
Parents understand and acknowledge that:

Enrichment programs are group-based educational settings and are not one-on-one instructional programs
-
Personalized academic support, curriculum modifications, or additional educational assistance may require enrollment in separate tutoring services and may involve additional fees
-
Beyond Alphabets staff are not able to provide daily or weekly individualized progress reports for students enrolled in group enrichment programs
-
Families enrolled in one-on-one tutoring services may receive additional academic updates when applicable
All students enrolled in enrichment programs will receive:

Monthly newsletters
-
General monthly progress updates
-
Classroom and learning theme summaries
Beyond Alphabets is not a full-time school. Successful academic progress requires active collaboration between Beyond Alphabets and families.
Homeschool Enrichment Program Supplies & Parent Responsibilities
Parents and guardians are responsible for purchasing and providing all required school supplies, learning materials, and personal items needed for participation in Beyond Alphabets programs.
Required items may include, but are not limited to:

Pencils and basic school supplies

Paper towels

Disinfecting wipes

Curriculum books and educational materials requested by Beyond Alphabets

Change of clothes when recommended for younger children or messy activities
Beyond Alphabets uses a variety of science supplies, hands-on learning materials, art materials, sensory tools, classroom projects, and additional curriculum resources throughout the school year to support enrichment activities and educational experiences.
Parents and guardians understand and agree that they are responsible for purchasing additional curriculum materials, educational supplies, science materials, classroom supplies, books, workbooks, project materials, and requested learning resources when needed throughout the school year.
Parents understand that supply requests may be updated throughout the year depending on classroom activities, projects, curriculum needs, and enrollment requirements.
Behavior Expectations & Discipline Policy
Beyond Alphabets is committed to providing a safe, respectful, inclusive, and nurturing environment for all students.
Students are expected to:

Follow classroom rules and staff directions

Respect teachers, staff, classmates, and materials
-
Participate safely and respectfully during activities
-
Demonstrate appropriate behavior during transportation, field trips, classes, and group activities
Unsafe, disruptive, aggressive, disrespectful, or inappropriate behavior will not be tolerated.
Behavioral process may include:

First occurrence: Parent/guardian communication and collaboration
-
Second occurrence: Parent may be asked to pick up the student early
-
Continued or severe behavior concerns: Suspension or dismissal without refund
Beyond Alphabets reserves the right to immediately remove any student whose behavior creates safety concerns or significantly disrupts the learning environment.
Bullying, harassment, unsafe conduct, threats, or repeated disruption may result in immediate dismissal from the program.
Homeschool Enrichment Tuition

All tuition, deposits, registration fees, and material fees are non-refundable and non-transferable.

A $250 annual registration/material fee may apply annually or per semester.

Tuition secures the student’s placement regardless of attendance.
-
No refunds, credits, or make-up sessions are provided for absences, holidays, vacations, illness, or schedule conflicts.
Charter School Payments
Families using homeschool charter funds understand and agree that:

Monthly charter payments require submission of a screenshot request by the 15th of the month for the following month
-
Semester enrollments require two separate payment requests per semester
-
Registration/material fees may require separate requests
-
Charter vouchers, certificates, purchase orders, or approvals must be submitted before services begin
-
Families remain financially responsible for unpaid balances if charter funding is delayed, denied, incomplete, or not submitted properly
Families are encouraged to submit semester payments early to avoid delays or interruptions.
Private Pay Families

Tuition must be paid before the first day of the upcoming month unless otherwise agreed in writing
-
Enrollment fees are due before participation begins unless covered through approved charter funding
-
A $40 late fee applies to overdue balances
-
Enrollment may be suspended for unpaid balances
Withdrawal & Re-Enrollment Policy
A 30-day written notice is required to withdraw from any Beyond Alphabets program.
Families remain financially responsible during the 30-day notice period regardless of attendance.
Failure to provide proper notice may result in tuition remaining due until written notice is received.
Because Beyond Alphabets programs are high-demand and often operate with active waitlists, advance notice is necessary to allow enrollment opportunities for waiting families and to support staffing and classroom planning.
If a student leaves the program and later returns:

The student will be considered a new enrollment

Current tuition rates and fees will apply

Registration and material fees must be repaid
-
Updated policies and program agreements must be accepted
Previous tuition rates, discounts, or enrollment terms do not carry over after withdrawal.

After-School Program
Enrollment in the Beyond Alphabets After-School Program is a school-year commitment running from August through June based on the Saddleback Valley Unified School District calendar.
Parents and guardians understand and agree that:

Tuition reserves the student’s placement for the entire school year
-
Tuition remains due regardless of absences, vacations, holidays, schedule changes, or non-attendance
-
Beyond Alphabets provides transportation and care during Wednesdays, minimum days, parent-teacher conference weeks, and additional short school days throughout the year at no additional charge
-
June is a shorter month, but full June tuition remains due regardless of attendance because it helps offset operational costs associated with short-day pickups and extended care provided throughout the school year
-
A 30-day written notice is required to withdraw from the program
-
Families remain financially responsible during the notice period
All Beyond Alphabets drivers:

Maintain valid driver’s licenses
-
Carry automobile insurance
-
Complete Live Scan fingerprint clearance
-
Maintain CPR and First Aid certification
Parents are required to:

Notify Beyond Alphabets at least 24 hours in advance if transportation is not needed
-
Provide booster seats or car seats when legally required under California law
-
Ensure emergency contact information remains updated
Parents understand that unexpected situations may occasionally happen, including:
-
Traffic delays
-
Accidents
-
Road construction
-
School dismissal delays
-
Weather conditions
-
Transportation-related emergencies or delays
If drivers are delayed by a few minutes, Beyond Alphabets will make every effort to ensure students remain safely waiting in the school office or designated safe area until pickup is completed.
A $50 no-show fee may apply if transportation staff arrive at school and the student is absent without prior notice. This fee helps cover the driver’s time, transportation expenses, and waiting time.
Late pick-up fees apply at a rate of $4 per minute per child.
Transportation Behavior & Student Conduct Policy
For the safety and well-being of all students and staff, students enrolled in Beyond Alphabets transportation services are expected to behave respectfully, safely, and responsibly at all times while riding in program vehicles.
Students are expected to:

Respect drivers, teachers, assistants, and fellow students
-
Use appropriate language and behavior during transportation
-
Remain seated with seatbelts fastened at all times
-
Follow all driver instructions immediately
-
Maintain a calm and safe environment inside the vehicle
-
Avoid yelling, fighting, teasing, bullying, rough behavior, or inappropriate language
-
Avoid distracting the driver in any way that may create unsafe driving conditions
Parents and guardians understand and agree that driver safety and student safety are top priorities.
Any unsafe, disrespectful, disruptive, aggressive, or distracting behavior reported by Beyond Alphabets drivers or staff may result in:

Parent notification

Behavior discussions with parents and students
-
Temporary suspension from transportation services
-
Immediate removal from transportation services or the After-School Program
If Beyond Alphabets determines that repeated behavioral concerns are not corrected after communication with parents and guardians, Beyond Alphabets reserves the right to terminate the student’s enrollment from the After-School Program.
Parents and guardians understand and agree that enrollment in the After-School Program is a school-year financial commitment. If a student is removed from the program due to ongoing behavioral, safety, or transportation-related violations, families may remain financially responsible for the remaining school-year tuition balance based on the signed program agreement.
Beyond Alphabets reserves the right to make all final decisions regarding student safety, transportation participation, and program enrollment.
Camps Program
Beyond Alphabets camps include hands-on activities such as:

Art

Pottery
-
Slime
-
Science experiments
-
Sensory activities
-
Painting
-
Creative projects
Parents understand and agree that:

Clothing, shoes, backpacks, and personal belongings may become stained, painted, dirty, or damaged during participation

Children should wear comfortable clothing appropriate for messy activities
-
Beyond Alphabets is not responsible for stained or damaged clothing or belongings
Pottery projects require drying, kiln firing, glazing, and additional firing time. Final pottery pieces may take approximately 1–2 months after camp completion to be ready for pickup.
Beyond Alphabets is not responsible for pottery cracks, breakage, glaze imperfections, or natural kiln-related variations.
Camp tuition and fees are non-refundable and non-transferable.
No refunds, credits, or make-up days are provided for absences, missed days, schedule conflicts, vacations, illness, or early withdrawal.
Drop-In Care Program
Parents and guardians are required to complete the official Beyond Alphabets Drop-In Care enrollment process through the Beyond Alphabets website before participation.
Families must contact Beyond Alphabets in advance to request and schedule drop-in care dates.
Parents understand and agree that:

Requested drop-in dates must be scheduled at least 2 days in advance
-
Advance scheduling is necessary to ensure staffing availability and proper supervision for each child
-
Drop-in care is subject to space and staff availability
All drop-in care payments are non-refundable and non-cancelable.
Families may reschedule a reserved drop-in date only if:

Beyond Alphabets receives at least 1-day advance notice before the scheduled drop-in date, and
-
Space remains available for rescheduling
Same-day cancellations, missed days, or no-shows are not eligible for refunds, credits, or rescheduling.
Fine Art & Pottery Program
The Beyond Alphabets Fine Art & Pottery Program follows the same policies and expectations outlined under the Camps Program Policy.
Parents understand and agree that:

Art, painting, pottery, slime, and sensory activities may become messy
-
Clothing and personal belongings may become stained or damaged during participation
-
Children should wear appropriate clothing for art and pottery activities
Pottery projects may require approximately 1–2 months after program completion before final pieces are available for pickup due to drying, firing, glazing, and kiln scheduling processes.
Beyond Alphabets is not responsible for pottery cracks, glaze imperfections, breakage, or natural firing variations.
Tuition and program fees are non-refundable and non-transferable.
No refunds, credits, or make-up classes are provided for absences, missed classes, vacations, illness, or withdrawal from the program.
Events, Field Trips & Activities
Some enrichment activities, field trips, workshops, and events may require separate paid tickets for students and/or parents.
Parents understand and agree that:

Parents are responsible for purchasing required event tickets

Event tickets are non-refundable

Parent participation or supervision may be required depending on the event

Parents are responsible for transportation and admission costs unless otherwise stated
Children should wear appropriate clothing for:

Hands-on projects
Beyond Alphabets is not responsible for stained, damaged, painted, or messy clothing and belongings resulting from participation.
For certain field trips, outdoor events, or park days:

At least one parent or guardian may be required to attend with the child

Parents are responsible for applicable ticket costs and supervision when required
Birthday Party
Beyond Alphabets is committed to creating fun, memorable, creative, and enjoyable birthday experiences for children and families.
Beyond Alphabets provides:

Party activity materials

Art supplies
-
Sculpting materials

Games

Music
-
Goodies for the birthday child and guests
-
Party activity setup included within the selected package
Parents and guardians are responsible for:

Bringing food, drinks, desserts, and beverages for guests

Cleaning up personal decorations, belongings, food, gifts, and party-related items after the event
-
Supervising guests and communicating guest expectations
Alcohol is strictly prohibited at children’s birthday parties and family events.
Parents understand and agree that:

All children participating in party activities must have a signed waiver completed by a parent or guardian before participation
-
Additional activities, vendors, decorations, entertainment, workshops, balloon services, dessert stations, or add-ons require additional fees separate from the base party package
-
Add-ons and outside vendors must be reserved and approved in advance based on availability
Beyond Alphabets is not responsible or liable for:

Outside vendors hired directly by families
-
Vendor services not operated directly by Beyond Alphabets
-
Injuries, damages, losses, or disputes involving third-party vendors
-
Nut-Free Safety Policy
-
Beyond Alphabets is a strict nut-free environment for the safety and well-being of all children enrolled in our programs.

To help protect students with severe allergies, parents, guardians, staff, teachers, volunteers, and visitors are not permitted to bring:

Nuts
-
Peanut products
-
Tree nuts
-
Foods containing nuts
-
Foods processed in facilities that may contain nuts or traces of nuts

This policy applies to:

Lunches

Birthday treats

Party foods

Special events

Classroom activities

Parents and guardians are responsible for carefully checking all food labels before bringing food items to Beyond Alphabets.

Beyond Alphabets reserves the right to remove or prohibit any food item that may create a safety concern for students with allergies.

The health and safety of all children is our highest priority, and we greatly appreciate everyone’s cooperation in helping maintain a safe nut-free environment.

Emergency Contact, Safety & Facility Security Policy

The safety and security of all students at Beyond Alphabets is our highest priority.
-
Only individuals listed on a student’s authorized emergency contact and pickup list will be permitted to pick up a child from Beyond Alphabets programs, transportation services, camps, enrichment classes, events, or activities.
-
If a parent or guardian wishes to authorize a new pickup person who is not listed on the emergency form, the parent or guardian must provide written authorization to Beyond Alphabets in advance. Beyond Alphabets reserves the right to request photo identification from any authorized pickup person before releasing a child.

At the time of enrollment, parents and guardians are required to complete all emergency contact and authorized pickup forms to help ensure the safety and protection of every student.

Parents and guardians are responsible for:

Keeping emergency contact information updated at all times
-
Providing accurate phone numbers and emergency contacts
-
Informing Beyond Alphabets immediately of any custody restrictions, court orders, or changes related to student pickup authorization

Facility Security & Locked Door Policy
-
For the safety and protection of all students, staff, and families, Beyond Alphabets maintains a locked-door policy during program hours.

Parents and guardians understand and agree that:
-
The front entrance door remains locked while students are inside the facility
-
Only Beyond Alphabets staff members are authorized to unlock and open the door from inside the building
-
Parents, guardians, visitors, and students should not attempt to force, pull, push, or open the locked door from outside
-
Students are not permitted to open the door for anyone, including parents or guardians
-
For safety reasons, parents and guardians are asked:
-
Not to instruct their child to open the door during pickup or drop-off
-
To wait patiently for a Beyond Alphabets staff member to unlock the door
-
To help maintain a calm, safe, and secure environment during arrivals and pickups
-
This policy is strictly enforced to support campus security, student supervision, emergency preparedness, and the overall safety of everyone at Beyond Alphabets.

Emergency Procedures & Relocation Policy

In the event of an emergency situation including, but not limited to:
-
Fire
-
Earthquake
-
Power outage
-
Natural disaster
-
Building emergency
-
Safety concern
-
Evacuation situation
-
Medical emergency
-
Any unexpected emergency requiring temporary relocation
-
Beyond Alphabets may temporarily relocate students to a designated safe area for student protection and emergency management purposes.

Parents understand and agree that the designated emergency relocation area may include the neighboring dry-cleaners UAS business next door , whose owner has agreed to assist Beyond Alphabets during emergency situations when temporary shelter or evacuation assistance is necessary.

Beyond Alphabets staff will make every reasonable effort to contact parents and guardians as quickly as possible during emergency situations using the emergency contact information provided during enrollment.

By enrolling in Beyond Alphabets programs, parents and guardians acknowledge and accept these emergency, safety, security, evacuation, and pickup procedures as part of Beyond Alphabets operational policies.

We greatly appreciate all families’ understanding, patience, cooperation, and support in helping Beyond Alphabets maintain a safe and secure environment for every child.
Final Acknowledgment & Liability Release
By enrolling and participating in any Beyond Alphabets program, service, activity, transportation service, event, workshop, camp, tutoring session, enrichment class, field trip, birthday party, or related program, parents and guardians acknowledge that they have carefully read, understood, and agreed to all Beyond Alphabets policies, procedures, terms, conditions, liability waivers, and financial responsibilities.
Parents and guardians understand that participation in educational programs, enrichment activities, transportation services, hands-on projects, sensory play, art, pottery, camps, parties, and related activities involves inherent risks, including but not limited to accidents, injuries, illness, property damage, transportation delays, or unforeseen circumstances.
To the fullest extent permitted under California law, parents and guardians voluntarily assume all risks associated with participation and agree to release, waive, discharge, and hold harmless Beyond Alphabets, its owners, employees, teachers, contractors, drivers, assistants, volunteers, affiliates, and representatives from any and all claims, liabilities, damages, losses, expenses, injuries, or causes of action arising out of participation in any Beyond Alphabets program, activity, transportation service, event, or use of the facility, except where prohibited by California law.
Beyond Alphabets is not responsible for:

Lost, stolen, or damaged personal belongings

Stained or damaged clothing
-
Injuries resulting from failure to follow staff instructions or program rules

Delays caused by traffic, weather, emergencies, or school-related circumstances
-
Accidents or disputes involving third-party vendors hired directly by families
-
Allergic reactions, medical conditions, or injuries not previously disclosed in writing by parents or guardians
By continuing participation in Beyond Alphabets programs, parents and guardians acknowledge acceptance of all current and future policies and understand that policies, schedules, staffing, tuition, and procedures may be updated when necessary.
We warmly welcome all families to Beyond Alphabets and truly appreciate your trust, support, and partnership. Our goal is to provide a safe, creative, nurturing, educational, and positive environment where children can learn, grow, build confidence, and create meaningful memories.
